Privacy notice

This notice explains what this website stores when you use it, why we store it, and the choices you have. It covers sentiwise.co.uk only.

Who is responsible for your data

Sortx Software Ltd, company number 17132612, with its registered office at Flat 9 Lowood House, Bewley Street, London, E1 0BT, England, is the data controller for this website. You can contact us at hello@sentiwise.co.uk.

What we store when you join

When you join the waitlist or the design group, we store the following, in a single record that is updated as you complete the form:

  • your email address, which is required;
  • the product you are interested in;
  • the page and form you used;
  • the answers you choose to give: your name, company, role, company size, industry, the use case that interests you, the tools you use today, the problem that hurts most, your urgency, your budget band, whether you want to join the design group, your design-group answer, how you heard about us, and your marketing consent choice;
  • campaign information from the link you arrived through (UTM source, medium and campaign, a referral identifier, and the referring page);
  • your browser’s user agent;
  • a hashed version of your IP address, stored on your lead record for abuse prevention. We do not store your raw IP address, and we keep the hash for as long as we keep the lead;
  • whether you completed the form.

Separately from your lead record, every attempt to start a form writes one row to a short-lived attempt log holding a hashed version of the IP address, the product and the time. It carries no email address and no answers, it is used only to cap how many attempts one network can make in an hour, and we delete rows older than two days each night.

We also keep a separate submission log for continue-link requests that reserve a send. Each row contains your lead record identifier and the reservation time, so it is linked to your email and prevents another send for one hour. The same log records a reservation for the team notification when you complete the form, marked as a completion. Its timestamp also stays on your lead record to prevent repeat notifications after the log is pruned. We delete log rows older than two days each night.

Why we store it

  • to contact you about SentiWise, including when there is something to try;
  • to understand who is interested and what they need, so we build the right thing;
  • to limit abuse and duplicate submissions;
  • to prevent spam: on your lead record we keep a submission counter and the start of the current one-hour window, plus the completion notification time. The separate submission log limits continue links to at most once an hour. Older lead records may also retain a continue-link timestamp, which is checked during the transition;
  • to measure whether our advertising is reaching the right people.

When you join, we rely on your consent. You can withdraw it at any time by asking us to remove your details.

Emails we send you

  • a confirmation when you first join, so you know we have your details;
  • a continue link if you enter an address that is already on our list, so that only the owner of the mailbox can carry on with or change that record. We send this at most once an hour per address, and we reserve the send in the separate submission log before sending it so we can apply that limit;
  • replies to anything you send us, and updates about SentiWise if you asked for them.

Who we share it with

We do not sell your data and we do not use a customer relationship management system for these forms. Your lead is stored in our own database, reachable only by our server. We send confirmation and notification emails through Purelymail, our email provider. Our website is hosted on Vercel. Google receives measurement events under Consent Mode, including before acceptance with storage denied. If you accept analytics and advertising cookies, the additional providers named below also process measurement data.

Cookies and similar technologies

We do not set cookies to run the site itself, and we do not show marketing pixels before you choose. Your consent choice is stored in your browser’s localStorage. While you are filling in a form we also keep, in your browser’s sessionStorage for that tab only, the answers you have given so far, the key from your continue link, and the address you last finished with so one visit is not counted twice, so that reloading the page or moving to the next step does not lose your place. These entries support the form and are discarded by your browser when you close the tab.

From your first page visit, even before you start a form, we also save arrival campaign information (UTM source, medium and campaign), the referral identifier and referring page in sessionStorage. This keeps the source of your visit available while you browse. If you join, we save it with your lead. The browser copy is discarded when you close the tab.

The Google tag (Google Tag Manager and Google Analytics 4) loads on every page, but it starts under Google Consent Mode v2 with analytics storage, advertising storage, advertising user data and advertising personalisation all set to denied. In that state it does not store or read cookies or similar identifiers on your device. It is used to understand how the site is used and to measure advertising.

If you choose to accept, we grant those storage types and additionally load the following tools, which may set cookies or similar identifiers:

  • Microsoft Clarity, to understand how visitors use the site so we can improve it.
  • Meta Pixel, to measure the results of advertising on Facebook and Instagram.
  • Microsoft UET (Bing), to measure the results of advertising on Microsoft Advertising.

If you reject, none of those three are loaded and the Google tag stays with every storage type denied. You can change or withdraw your choice at any time using the Cookie choices control in the footer, or the button below, which reopens the banner.

How long we keep it

We keep your details while SentiWise is being planned and built, so we can contact you about it. You can ask us to delete them at any time and we will do so.

Your rights

You have the right to ask for a copy of your data, to have it corrected or deleted, to object to or restrict how we use it, and to withdraw your consent. Email us at hello@sentiwise.co.uk and we will help. If you are unhappy with how we have handled your data, you can complain to the UK Information Commissioner’s Office at ico.org.uk.
